Job Title: Project Assistant / Purchasing Agent
Location: Bakersfield, CA
Schedule: Full-Time
Pay Range: $23-28/hr
Position Summary
We are seeking a highly organized and detail-oriented Project Assistant / Purchasing Agent to support project execution, procurement activities, vendor coordination, and day-to-day operational needs. This position plays a critical role in keeping projects organized, supplied, compliant, and on schedule while providing administrative and purchasing support to project managers and field teams.
This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and has strong communication and organizational skills.
Key Responsibilities
- Create and manage purchase orders for materials, equipment, rentals, and project supplies
- Source vendors, obtain pricing quotes, and coordinate deliveries to project sites
- Track purchase orders, project expenses, and procurement activities
- Support Project Managers with scheduling, project documentation, and coordination efforts
- Maintain vendor files, certificates of insurance, contracts, and project documentation
- Assist with invoice reconciliation, job costing, and budget tracking
- Coordinate subcontractor paperwork and compliance documentation
- Support fleet management, fuel card tracking, equipment logs, and inventory management
- Communicate effectively with field personnel, vendors, subcontractors, customers, and management teams
- Prepare spreadsheets, reports, and project status updates
- Perform additional administrative and operational duties as assigned
Qualifications
- Minimum of 2+ years of experience in purchasing, project coordination, construction administration, or a related role
- Experience within construction, industrial services, manufacturing, fabrication, engineering, or oil & gas environments preferred
- Strong proficiency in Microsoft Office Suite, particularly Excel
- Excellent organizational skills with strong attention to detail
- Ability to prioritize multiple projects and deadlines in a fast-paced environment
- Strong communication, problem-solving, and relationship-building skills
- Self-motivated with the ability to work independently and collaboratively

Work Environment
This position involves a combination of office and field work with regular interaction between project sites, vendors, subcontractors, and internal teams. Candidates should be comfortable balancing administrative responsibilities with hands-on project support.
