Key Staffing is seeking an Operations and Systems Manager to oversee the general operation of our office while managing and optimizing digital systems and workflows. This hybrid role combines office management with technical project management responsibilities, requiring strong organizational skills, leadership, and technical expertise.
The ideal candidate will ensure smooth day-to-day office operations, supervise staff for maximum productivity, and lead the evaluation, implementation, and migration of software systems critical to our operations.
Key Responsibilities
Office Management:
- Oversee general office operations, ensuring an organized and efficient workplace.
- Greet visitors, manage high volumes of incoming calls, and deliver exceptional customer service.
- Coordinate appointments, meetings, and manage staff calendars and schedules.
- Supervise, mentor, train, and coach office staff, delegating tasks to ensure high productivity.
- Plan and coordinate events, including domestic and international travel arrangements.
- Purchase office supplies and maintain accurate inventory levels.
- Produce reports, compose correspondence, and draft contracts.
- Create presentations and management-level reports.
Systems and Technology Management:
- Research, evaluate, and oversee the migration to a new project management software system.
- Manage the transition from existing digital forms to more efficient web-based workflows.
- Collaborate with software developers and stakeholders to identify and implement new solutions for student tracking systems.
- Conduct demos and oversee the adoption of new tools, ensuring a smooth transition and staff training.
- Continuously assess office and operations technology needs to ensure optimal functionality.
Requirements
- Experience: Minimum of 3 years in office administration or office management roles.
- Technical Expertise: Strong proficiency in Microsoft Word, Excel, Outlook, and PowerPoint; familiarity with digital workflow platforms and project management software preferred.
- Leadership: Proven ability to supervise and lead a team effectively.
- Problem-Solving: Strong analytical and decision-making skills to address technical and operational challenges.
- Adaptability: Ability to learn new systems quickly and manage multiple projects simultaneously.
- Construction Industry Background (Preferred): Experience in or familiarity with the construction industry is a plus but not required.
