Job Description

We are seeking a detail-oriented and professional Behavioral Health Administrative Support Coordinator to support the Behavioral Health Program through a variety of administrative, clerical, outreach, and member/provider coordination duties. This role will assist with referral processing, data entry, member and provider communication, appointment coordination, reporting, document management, and general department support.

The ideal candidate will have recent experience in behavioral health or a related healthcare setting, strong communication skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment. 

Essential Duties and Responsibilities

  • Assign, process, and track referrals received through provider portals, email, and fax in a timely and accurate manner.
  • Maintain referral tracking systems, including Transitions of Care tools, Behavioral Health grievances, follow-ups, and required documentation.
  • Perform accurate data entry in healthcare systems, including uploading approved documents and maintaining workflow compliance.
  • Conduct outreach and follow-up with members and providers regarding appointment scheduling, attendance, and missed appointments.
  • Provide professional customer service support to members by responding to inquiries and sharing appropriate resources.
  • Prepare, process, and distribute member and provider correspondence, including appointment letters, care plans, educational materials, and resources.
  • Process returned mail related to member communications and ensure proper documentation.
  • Prepare and distribute outcome reports in accordance with department requirements.
  • Support provider network adequacy efforts by maintaining provider capacity reports and conducting outreach to verify services and availability.
  • Coordinate departmental meetings, including scheduling, preparing agendas and materials, sending invitations, arranging logistics, attending meetings, and distributing meeting minutes.
  • Prepare scheduled and ad hoc reports and assist with data validation, testing, and implementation of new processes or projects.
  • Organize and maintain departmental files, records, and marketing material inventory.
  • Assist with administrative and operational tasks, including ordering supplies, tracking gift cards, processing mileage reimbursements, and handling invoices.
  • Monitor incoming and outgoing faxes, confirm successful transmission, and document appropriately.
  • Operate standard office equipment, including copiers, scanners, fax machines, and multi-line phone systems.
  • Maintain professional written and verbal communication with members, providers, internal teams, and community partners.
  • Use Microsoft Office, Excel, and other computer systems to complete daily administrative tasks.
  • Collaborate effectively within a team environment and support cross-functional coordination.
  • Complete patient satisfaction calls as assigned.
  • Assist management and team members with special projects and additional assignments as needed.
  • Follow all company policies, procedures, and attendance expectations.
  • Perform other job-related duties as assigned.

Qualifications

Education:

  • Associate’s degree from an accredited school or equivalent required.
  • Bachelor’s degree preferred.

Experience:

  • Minimum of two years of recent experience in behavioral health or a related healthcare field.
  • Strong problem-solving and decision-making skills.
  • Strong telephone, customer service, and communication skills.
  • Experience in a patient-centered medical home setting preferred.

Certifications:

  • Typing certificate required.

Required Skills

  • Strong attention to detail and accuracy.
  • Ability to manage referrals, appointments, documentation, and follow-up tasks.
  • Proficiency with Microsoft Office, including Excel and basic spreadsheet management.
  • Strong data entry skills.
  • Ability to communicate professionally with members, providers, and community partners.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Strong organizational and follow-through skills.
  • Ability to work independently and as part of a team.

Key Performance Expectations

  • Maintain a high level of accuracy in data entry and document processing.
  • Complete outreach calls and follow-ups within required timelines.
  • Track and follow up on all assigned referrals and appointments.
  • Respond to inquiries and referral updates in a timely manner.
  • Prepare and send correspondence accurately and within department deadlines.
  • Maintain organized files, reports, and tracking logs.
  • Support provider outreach and documentation efforts.
  • Submit reports and assigned projects by established deadlines.
  • Provide courteous, responsive, and professional customer service.
  • Maintain regular and predictable attendance.

Working Conditions

This position is primarily office-based. The employee may be required to move throughout the organization during the workday and must be able to sit for extended periods while working at a computer. The role requires the ability to manage multiple tasks in a fast-paced and changing environment.
